Kibble Privacy Policy

This Privacy Policy describes how Kibble ("Kibble," "we," "us," or "our") collects, uses, discloses, and protects information when you use our software. It applies to:
Kibble (UI) — the web and administrative experience used by authorized staff at participating veterinary organizations (sometimes referred to in product materials as the Kibble admin or web app); and
Kibble Flow — the mobile field application used by authorized staff for on-site inventory workflows (including scale and barcode-related features where enabled).
Together, these are referred to below as the "Services."
Kibble is operated in support of One Vet Inc. and partner veterinary organizations. If you have questions about this policy or our practices, contact us at tech at novel dot vet.
1. Early access and pilot program
Kibble is in early access. It is onboarded for partner clinics that are running inventory pilots with us. Features, availability, performance, and support levels may change without notice.
Onboarding, data deletion, account modification, and related privacy or security requests are currently handled by contacting tech at novel dot vet. We will respond in line with applicable law and our operational capacity for this program.
2. Who this policy applies to
This policy applies to individuals who are authorized to use the Services on behalf of a veterinary clinic or related organization that has agreed to participate in the pilot ("you," "your," or "users"). The Services are intended for professional use in a business context, not for personal consumer use unrelated to your organization’s relationship with us.
3. Information we collect
We collect information in the following categories, depending on how you use the Services and how your organization has configured integrations.
3.1 Account and authentication information
Identifiers and credentials you or your administrator provide (for example, email or username, and authentication data processed by our systems).
Role, organization affiliation, and permissions assigned to your account.
3.2 Operational and inventory data
Data you enter or generate while using the Services in connection with inventory, locations, products, receiving, integrations with practice management or related systems, and similar workflows.
This may include business contact information, product and inventory records, operational notes, and identifiers tied to your organization’s use of the Services.
3.3 Device and technical data
Device and app identifiers, IP address, approximate location derived from IP (if applicable), browser or app version, operating system, diagnostics, and log data needed to operate, secure, and improve the Services.
Mobile-specific data: where you use Kibble Flow, we may collect data needed for Bluetooth scale connectivity, camera-based scanning or capture (where you grant permission), push notification tokens (if enabled), and similar technical data as described in your device permissions and our backend configuration.
3.4 Communications
Information you send us (for example, email content and metadata when you contact tech at novel dot vet or other support channels we provide).
3.5 Information from third parties
Your organization or integrations may cause us to process data originating from third-party systems (for example, practice management or product catalog providers). That processing is governed by this policy to the extent we hold or process the data as part of the Services, and may also be subject to your organization’s agreements and the third party’s terms.
We do not knowingly collect sensitive categories of personal information beyond what is reasonably necessary to provide the Services your organization has requested, and we do not use the Services to sell personal information as "sale" is commonly understood in all jurisdictions.
4. How we use information
We use the information above to:
Provide, maintain, secure, and improve the Services.
Authenticate users and enforce access controls.
Operate organization-scoped features (for example, separating data by clinic or tenant where applicable).
Communicate with you or your organization about the pilot, technical issues, or policy updates.
Comply with law, respond to lawful requests, and protect rights, safety, and security.
Analyze usage in aggregate or de-identified form where appropriate to improve reliability and product quality.
5. Legal bases (where applicable)
Where the EU/UK General Data Protection Regulation or similar laws apply, we rely on one or more of the following: performance of a contract (providing the Services to your organization), legitimate interests (security, product improvement, and communication about the Services), legal obligation, or, where required, consent (for example, certain device permissions you approve on your device).
6. How we share information
We may share information:
With your organization and other users authorized under the same organizational context, as required to operate multi-user inventory workflows.
With service providers who process data on our behalf under contractual obligations (for example, hosting, infrastructure, email delivery, or security vendors), and only as needed to provide the Services.
For legal reasons if we believe disclosure is required by law, regulation, legal process, or governmental request, or to protect the rights, property, or safety of One Vet Inc., our users, or others.
In connection with a business transaction (for example, merger, acquisition, or asset sale), subject to appropriate safeguards.
We do not sell your personal information for monetary consideration. We do not share personal information with third parties for their independent marketing purposes except as described in this policy or with your organization’s direction where applicable.
7. International transfers
If you access the Services from outside the country where our systems or vendors are located, your information may be transferred to, stored in, or processed in other countries, including the United States and Canada, where privacy laws may differ. Where required, we use appropriate safeguards (such as contractual clauses) for cross-border transfers.
8. Retention
We retain information for as long as necessary to provide the Services, fulfill the purposes described in this policy, meet legal, accounting, or reporting requirements, and resolve disputes. Retention periods may depend on your organization’s relationship with us and the nature of the data. Requests regarding deletion should be sent to tech at novel dot vet; we will work with your organization where applicable to honor valid requests consistent with our obligations.
9. Security
We implement technical and organizational measures designed to protect information against unauthorized access, loss, or alteration. No method of transmission over the Internet or electronic storage is completely secure; we cannot guarantee absolute security.
10. Your choices and rights
Depending on your location, you may have rights to access, correct, delete, restrict, or object to certain processing of your personal information, or to data portability.
To exercise rights, or to request onboarding assistance, account changes, or data deletion as part of the early access program, contact tech at novel dot vet. We may need to verify your identity and coordinate with your organization before fulfilling certain requests.
11. Children
The Services are not directed at children under 13 (or under 16 where a higher age applies). We do not knowingly collect personal information from children. If you believe we have collected information from a child, contact tech at novel dot vet and we will take appropriate steps.
12. Third-party services and links
The Services may interoperate with third-party systems (for example, cloud APIs or practice software). Those third parties have their own privacy practices; this policy does not control their handling of data. We encourage you to review their policies.
13. Changes to this policy
We may update this Privacy Policy from time to time. We will post the revised policy with a new Effective date or Last updated date and, where appropriate and required by law, provide additional notice. Your continued use of the Services after the effective date of changes constitutes your acknowledgment of the updated policy, subject to applicable law and any stricter consent requirements.
